FOAS Board Meeting Minutes

8/19/08 6:30 p.m.

 

 

 

Present at the meeting: Kathryn Warnecke Ryan, Rhonda Caldwell, Cindy Bennett, Malissa Kilgore, Carolyn Waterbury-Tieman, Marilyn Cunningham, Kim Lee, Verity Mathews, Lynsey Sugarman, Tracy Lovan, Scott Kelly, Donnia Krebs, Jennifer Gorena, Lily Cheng, Martha Caswell, George Wilson, Christy Pellegrino, Kim Kearns, Suzetta Yates, and Joy Henderson.

 

  1. Call to order at 6:28

 

  1. Minutes – minutes from June and July 2008 reviewed. Motion to approve by Tracy Lovan, seconded by Cindy Bennett. Minutes approved.

 

  1. TreasurerÕs Report – Tracy Lovan, treasurer, stated that she had been unable to print reports for tonightÕs meeting. Approximate balance in checking is $26,000 and in the money market account is $102,000. Amount is not yet in for Back to School Picnic.

 

  1. PresidentÕs Report – Ongoing discussion with FCPS re Performing Arts Center, this is still in the planning stages with no firm details at this point. Back to School Picnic held 8/17/08 at SCAPA Bluegrass. Back to School Reception held at Lafayette on 8/11/08.

 

  1. Funding requests/decisions:

 

  1. Costumes, accessories, props and tool storage. Many materials were put on racks over the summer. Space is available for one year at Linlee Elementary School. Cindy Bennett proposed and Kim Kearns seconded the motion that costumes would be stored at Linlee. Motion approved.

 

  1.  Christy Pellegrino, Arts Wear Chair, requested 2 metal shelving units on casters with heavy-duty plastic tarps for Arts Wear storage in SCAPA basement. Cindy Bennett motioned to approve and Rhonda Caldwell seconded. Motion approved.

 

  1. David Gillespie, SCAPA piano teacher has requested money to repair several keyboards. Carolyn Waterbury-Tieman motioned to approve and Malissa Kilgore seconded Mr. Gillespie pursuing repairs on keyboards. Motion approved.

 

  1. Information shared about fundraising possibilities at Amazon gift wrapping items. Jennifer Gorena shared her experiences from having done this before. This topic will be reviewed at the September FOAS meeting.

 

  1. Principal/Faculty Report: Marilyn Cunningham reported ÒSchool is wonderful!Ó

 

  1. Productions Report – Auditions for Twelve Angry Men were held 8/18/08. Willy Wonker auditions are September 10th, 11th and 12th with rehearsals beginning on September 15th.

 

  1. Committee reports – Tracy Lovan discussed sponsorship and ÒWorth Our InvestmentÓ. Kim Kearns reported that Innisbrook packets went home yesterday for SCAPA Bluegrass students. Activities and rewards will be given for student sales.  High School sales are occurring online.

 

  1. Arts Facilitator – Carolyn Waterbury-Tieman

 

  1. SCAPA participation in 4th July parade was a success with around 30 students and parents participating. Plans already underway for next year. Anyone interested should contact Cheryl Taylor (224-3788 or 396-9070)
  2. No productions brochure is being sent to schools this year. Everything is being e-mailed out. Hand bills have been made, listing productions and all are encouraged to pass these out.
  3. Bird House project at the Arboretum featured several SCAPA students.
  4. Several current and previous SCAPA students in Summer Fest and History Boys.

 

  1. Old Business – The issue of VP for Communications resolved, review of by-laws indicates that this position does not exist. Volunteer Coordinator falls under Educations and Enrichment.  Rhonda Caldwell requested additional information about volunteer needs.  Discussion of ways to enlist additional volunteers.

 

  1. Announcement of Next Meeting: Tuesday September 16th at 6:30 following parent forum at 5:30.

 

  1. Meeting adjourned at 7:40.
